Founding firms · waiting list open
Hubsole is one system for a small firm — the hub of the business and the console you run it from. It takes its shape from how you already work: your words, your stages, your files. Not a system you bend yourself to fit, and not six subscriptions pretending to be one.
Type your firm's own word. Watch the console below change with it.

Three jobs close. Two need a document before they can be invoiced.

Where this came from
The due date was drafted by the model from an email, and confirmed by A. Shaw on 09/09/2026. Model-drafted content is always marked, and always confirmed by a person before it enters the record.
Written to file
41-208.md · committed 10/09/2026 07:12. Plain, readable, and openable without us.
The client wrote asking for a later date. Approving changes the due date on job 41-208 and nothing else.
A scanned document that matches the depot condition report. Approving files it and marks the job ready to invoice.
Approved under your rule "routine site-visit times". Logged against the rule, and reversible.
The rule that never bends
Anything arriving by email, calendar or document can fill in a proposal. It can never trigger an action.
A standing approval may never cover

Why it looks like this
A flat list of 148 documents helps nobody. The handbook shows how one process connects to the next, and to the people who run it.

Who can see this
Why that matters
Permission is enforced where the record is read, not on the screen that draws it. A field you may not see never leaves the store.
Your words for these roles
Principal, Accounts, Surveyor and Office are the words Marchgate uses. Yours will be different, and that is the point — you tell us at set-up, and the software adopts them.
Where roles come from
Your org chart, not a settings screen. Who reports to whom decides who sees what, and it changes when your firm changes.
What never enters
Bank details, tax identifiers and national insurance numbers never come into Hubsole at all.
Labelled in one example firm's words. Your set-up would carry yours.
The standard
Every firm already has a way of working. The software should be the thing that adapts.
The system
Your jobs, your stages, your fields, your job titles. If your firm calls it a job, so does the screen. Nothing to rename, no dropdown that almost fits, no half a product switched off because it was built for somebody else's trade.
The mail, the calendar, the documents and the money that belong to a job sit with the job. Hubsole reads what comes in and drafts the update; a person approves it. Nothing arriving by email can move money or make a commitment on its own.
Every change writes a plain, readable file you can open without us — and you choose where it all lives: a machine in your own office, a drive you own, or the cloud service you already pay for. No export fee. No hostage situation at renewal.
Who is building it
Not a software house looking for a market. Eleven years running a small service firm on spreadsheets, shared folders and systems that never quite fitted — which is where every decision in Hubsole comes from.
Hubsole is our primary system, not a demo we keep polished for visitors. Every release has to be good enough to run a real firm on the day it lands, because on that day it runs ours.
We would rather leave it empty than fill it with something we have not earned yet. It could be yours.

The ask
We take founding firms one at a time, because setting one up properly is a conversation, not a sign-up form.
Five short questions after this, then you are on.
Question 1 of 5
Thank you. We take founding firms on one at a time, so the list moves at the pace we can do a proper job. The typical wait from here is four to eight weeks.
What happens next
Shortly. We will be in touch to confirm your place on the list.
Within a fortnight. A short call, and not a pitch. Mostly we want to hear the words your firm uses for its own work, because those become the software.
When your turn comes. We set Hubsole up with you, on the terms you chose, and you run your firm on it.
